Records and ownership from day one
Labelling and inventorying beacons are separate but linked tasks. Labelling is the physical act of marking a device so it can be identified on-site without connecting to it digitally. Inventorying is the process of recording and tracking those labelled devices in a system that lets you find them, check their status and prove you know what you have and where it is.

The reason these tasks matter is straightforward: beacons look identical. Most deployments use the same model across a site, and once a beacon is fixed to a ceiling bracket, wall mount or shelf edge, you cannot tell which one it is by sight alone. If a beacon needs recalibration, a firmware update or a battery change, staff must locate the correct unit without guessing. Without a labelling convention and an inventory record, that means testing each beacon individually until the right one responds — a process that wastes time and introduces errors in large venues.
Labelling decisions should be made before installation, not after. The label needs to survive the environment, remain legible from a reasonable distance and carry enough information to be useful without cluttering a small surface. The inventory record then mirrors that physical label and adds the data that cannot be printed on the device: firmware version, battery health, calibration date and the zone or trigger it serves.
What Belongs on a Physical Label
A practical beacon label typically includes a short identifier, the installation location and the date fitted. Some organisations add a colour code or zone abbreviation. The identifier should match the primary key in whatever system holds the inventory — whether that is a spreadsheet, a dedicated asset management platform or part of a broader facilities system.
Avoid putting sensitive identifiers such as full UUIDs or authentication keys on a physical label. The label is there for operational staff, not for security purposes. If someone can read the label, they can already see the beacon; the broadcast identifiers are not secret in any case. However, there is no reason to make it easier to clone a configuration by printing every parameter on the casing.

Choosing a Labelling Method
The main options are engraved casings, adhesive labels, thermal-printed stickers and hand-written marks. Each has trade-offs depending on the environment and how long the beacon will stay in one place.
- Engraved casings are durable and resistant to cleaning, but they lock you into a fixed identifier. If you reassign a beacon to a different zone, the engraving becomes misleading unless it only carries a generic asset number rather than a location.
- Adhesive labels are cheap and quick to apply, but they peel in humid environments, fade under UV light in glazed retail units and can be removed by visitors in accessible locations.
- Thermal-printed stickers offer better durability than standard adhesives and can include barcodes or QR codes for scanning during audits, though the print quality depends on the ribbon and the surface preparation.
- Hand-written marks using a permanent marker are acceptable for short-term pilots but unreliable for anything expected to last more than a few weeks.
For most permanent or semi-permanent deployments, a thermal-printed label with a barcode or QR code linked to the inventory record provides the best balance of durability, scannability and flexibility. The QR code can point to a record that is updated when the beacon is moved or reconfigured, so the physical label stays correct even if the beacon's role changes.
Labelling for Different Environments
Retail environments present a specific problem: beacons mounted above shelving or on ceiling tiles are often out of easy reach, and staff may need to identify them using a pole-mounted scanner or by photographing the label with a phone. Labels in these positions need to be large enough to read at distance and oriented so they face downwards or outwards, not against a surface.
Museums and galleries have aesthetic constraints. A bright white label on a dark ceiling in a historic interior may be unacceptable. Solutions here include matching the label colour to the mounting surface, placing labels on the reverse or underside of the beacon housing, or using casings that can be engraved in a subdued finish. The priority is that the label remains findable by the team that maintains the system, even if it is not immediately obvious to a visitor.
Event spaces and temporary venues often use beacons for only a few days. In these cases, a simple colour-coded dot or zone letter on tape may be sufficient, backed by a floor-plan diagram that shows which identifier goes where. The inventory record for a temporary deployment can be lighter, but it still needs to exist if beacons are being returned to a hire company or moved to the next event.
Conducting a Physical Inventory
An inventory check is not the same as a signal survey. A signal survey measures whether beacons are broadcasting correctly from the user's perspective. An inventory check confirms that the beacon you expect to find at a given location is actually there, that its label matches your records and that its physical condition is acceptable.
A basic inventory walk involves taking a floor plan or zone list, visiting each beacon position and confirming three things: the beacon is present, the label matches the record and there is no visible damage to the casing, mount or label. If you use scannable labels, this process can be accelerated with a handheld scanner or a phone app that logs each beacon as it is checked, flagging any identifier that does not match the expected list for that zone.
How often you inventory depends on the site. A busy retail unit with beacons at shelf level may need a monthly check because beacons get knocked, repositioned or removed during refits. A museum with ceiling-mounted beacons in locked galleries might manage with a quarterly or biannual check, supplemented by automated alerts if a beacon stops broadcasting.
Review points and lifecycle decisions
Inconsistent Naming Conventions
One of the most frequent problems is a labelling scheme that made sense to the person who installed the beacons but means nothing to the facilities team that maintains them. If labels use a cryptic abbreviation system without a documented key, or if the convention changed partway through a rollout, staff will waste time decoding labels or, worse, assume they have found the right beacon when they have not.
Agree on a naming convention before ordering labels. Document it where the inventory is stored. Keep it simple enough that someone unfamiliar with the project can understand it from the documentation alone.
Labels That Degrade or Disappear
A label that falls off or becomes illegible effectively turns the beacon into an untracked asset. In environments with high humidity, temperature fluctuations or frequent cleaning, test a sample label in situ for at least a few weeks before committing to the method across the whole site. Check whether the adhesive bonds to the beacon casing material — some plastics resist standard adhesives.
If labels are exposed to direct sunlight through rooflights or glazed facades, UV-resistant materials are necessary. Standard paper or vinyl labels will fade, and a faded barcode or QR code cannot be scanned, removing the main advantage of using one.
Separating the Label from the Record
A label is only useful if it corresponds to an up-to-date inventory record. If beacons are swapped between zones during maintenance but the inventory is not updated, the label becomes a source of confusion rather than clarity. Any process that moves a beacon must include a step to update its recorded location, even if that is as simple as crossing out the old zone and writing the new one on a printed sheet that is later transcribed.
Key Checks Before and After Installation
- Before installation: Confirm that each label is legible, correctly printed and adhered firmly. Scan or read a sample to verify it matches the intended record. Check that the label does not cover any sensor ports, reset buttons or charging contacts on the beacon casing.
- After installation: Walk the site and confirm each beacon position matches the planned layout. Photograph each label in situ if the site is large or if beacons are in hard-to-reach locations — these photographs become a valuable reference for future maintenance visits.
- During operation: Include a label check in any routine maintenance visit. If a label is damaged or missing, replace it immediately and update the inventory. Do not assume you will remember to do it later.
Limitations of Physical Labelling
Labelling does not solve every identification problem. In dense deployments where multiple beacons are within a few metres of each other, a label tells you which beacon is which, but it does not tell you whether the beacon is broadcasting at the correct power or interval. For that, you still need a signal survey or a monitoring system. Similarly, labelling does not replace battery monitoring — a labelled beacon with a depleted battery is still a problem, just an identified one.
For organisations scaling beyond a few dozen beacons, physical labelling should be viewed as one layer of a broader asset management approach. The label gets you to the right device; the inventory record tells you its history and status; and monitoring tells you whether it is working. Each layer has a distinct role, and none of them substitutes for the others.
