What the headline price usually omits
Installation and integration costs cover the physical work and technical configuration needed to make proximity hardware function correctly within a specific venue. These costs sit between buying the devices and running the software, and they are frequently underestimated during procurement because they depend heavily on site conditions that are not visible from a floor plan alone.

The installation component includes the labour and equipment required to mount beacons, fix NFC tags, place QR codes, and position any gateways or receivers. The integration component covers the engineering work to connect those devices to the receiving application, calibrate signal zones, test triggers, and hand over a working system. Neither of these is a fixed line item: a straightforward retail unit with suspended ceilings will demand far less installation effort than a listed museum building with solid stone walls and restricted access.
What typically sits inside this cost category
- Site survey and radio mapping before any device is fixed
- Physical mounting: brackets, adhesive, drilling, and any making-good to the building fabric
- Access equipment: scaffolding, tower scaffolds, or mobile elevated work platforms where ceilings are high
- On-site signal testing and zone calibration at each beacon location
- Integration engineering: connecting beacon identifiers to the receiving app or platform, configuring trigger rules, and testing end-to-end notification delivery
- Commissioning: a structured walkthrough confirming that each zone behaves as specified
- Documentation of installed positions, calibrated RSSI values, and any deviations from the original plan
- Handover training for on-site staff responsible for day-to-day operation

Variables that move the total
Retail environments
Shops and department stores often present the most predictable installation conditions. Suspended tile ceilings allow beacons to be clipped into place without drilling, and trading hours restrict work to early mornings or overnight. The main cost drivers are the number of zones, the distance between them, and whether the integrator needs to return for recalibration after the initial fit-out. A single-storey fashion retailer with open sightlines will require less calibration work than a multi-level store with heavy fixture density and stockroom walls that attenuate signals.
For NFC and QR placement in retail, the installation effort is minimal but not zero. Tags need to be fixed at consistent heights and angles, tested with a range of phone models, and logged. If hundreds of product tags are involved, the labour adds up even though each individual fix takes seconds.
Museums and heritage venues
These sites frequently generate the highest installation costs per device. Listed building consent may restrict drilling or adhesive use. Ceilings can be ornate, high, or fragile, requiring specialist access and conservation-approved fixing methods. Galleries may have display cases with metal-framed glass that reflects Bluetooth signals unpredictably, demanding more extensive on-site calibration to achieve reliable zone boundaries.
Integrators working in heritage venues often need to plan installation around exhibition changeovers, public opening hours, and conservation requirements. That scheduling complexity translates directly into labour hours, even if the technical work per beacon is identical to a retail site.
Events and temporary venues
Temporary installations have a different cost profile. Mounting is typically quicker because beacons can be zip-tied to truss, attached to temporary signage, or placed on flat surfaces. However, the integration work can be more compressed: the entire system must be commissioned, tested and signed off in hours rather than days, which may require a larger on-site team. De-rig and return logistics also need to be costed, particularly if beacons are hired rather than purchased.
Factors that shift the cost up or down
- Building construction: Open-plan steel and glass attenuates Bluetooth differently to solid brick or reinforced concrete. More attenuation means more beacons and more calibration time per zone.
- Working hours: Out-of-hours installation commands a premium in most UK venues.
- Access requirements: Anything above standard step-ladder height usually requires hired access equipment and trained operators.
- Existing infrastructure: If the venue already has a compatible app or platform, integration is narrower in scope. If the integrator is building the receiving layer, costs rise accordingly.
- Zone complexity: A simple entrance-trigger notification needs less calibration than overlapping zones where the system must distinguish between adjacent exhibits.
- Documentation standard: A basic asset list is quick to produce; a full as-fitted record with RSSI maps and calibration certificates takes considerably longer.
Turn the estimate into a controlled decision
Assuming a per-beacon installation rate is meaningful in isolation
Some procurement exercises request a fixed price per beacon installed. This can be misleading because the first beacon in a zone costs more than the tenth: the first requires access setup, radio testing and calibration, while subsequent devices in the same area benefit from the established baseline. A more useful approach is to request a breakdown that separates access and survey costs from per-device mounting and calibration, so you can see where the actual effort lies.
Underestimating calibration time
Calibration is where many projects absorb unplanned hours. A beacon mounted in an empty room will behave differently once the space is furnished, stocked, and occupied. Integrators who calibrate before fit-out may need to return, and that return visit should be anticipated in the scope rather than treated as a variation. Ask specifically whether the quoted price includes post-fit-out recalibration.
Not defining the handover standard
Disputes often arise because the buyer and integrator have different expectations of what "installed and integrated" means. One party may assume it means devices are mounted and visible to a scanner app; the other may expect fully tested notification delivery with documented zone boundaries and staff training. Write the acceptance criteria into the contract: what tests will be performed, with which devices, in what conditions, and what documentation will be provided on completion.
Overlooking integration dependencies
Installation cannot be completed in isolation from the receiving system. If the app or platform is not ready to receive beacon identifiers and trigger rules, the integrator cannot perform end-to-end testing. Ensure the project schedule accounts for this dependency, and check whether the installation contract includes a provision for re-testing once the software side is live.
Key questions to put to an integrator
- Does the quote include a pre-installation radio survey, or is it based on the floor plan alone?
- How is calibration performed, and does it account for the furnished and occupied state of the venue?
- What access equipment is assumed, and has it been priced for your specific ceiling heights?
- Are out-of-hours working and any required permits included?
- What documentation is supplied on completion, and in what format?
- Does the price cover post-fit-out recalibration if the initial install happens before the space is fully dressed?
- What happens if a zone does not meet the agreed performance threshold after installation?
- Is there a defect liability period during which the integrator will return to adjust placement or calibration at no additional charge?
A realistic limitation
No integrator can quote a firm installation and integration price without physically assessing the venue or, at minimum, reviewing detailed architectural drawings with material specifications. Any figure provided on that basis is an estimate, not a cap. The practical approach is to budget for a site survey as a separate, early-stage deliverable, then use its findings to negotiate a fixed-price installation scope with defined exclusions and a clear variation process.
