What the dashboard should actually answer
A post-event wayfinding evaluation is the structured process of reviewing how effectively visitors navigated a venue during a time-limited event, using whatever combination of Bluetooth beacons, QR codes, NFC tags, digital maps and physical signage was deployed. Unlike permanent installations, where you can iterate over months, event wayfinding gets one shot. The evaluation is what turns that single deployment into usable knowledge for the next one.

The core purpose is straightforward: establish what worked, what failed and what remains uncertain. That means comparing the original wayfinding plan against what actually happened on the floor, using a mix of system data and human observation. System data might include beacon detection logs, QR scan counts and NFC tap records. Human observation covers staff reports, help-desk query logs and direct visitor feedback.
Timing matters. Some data needs to be pulled before the venue is struck. Beacon logs, in particular, may be overwritten or become inaccessible once the scanning infrastructure is powered down. Staff debriefs should happen while the event is still fresh, ideally within 48 hours. A fuller written evaluation can follow once the system data has been exported and cleaned.
Event wayfinding also differs from permanent installations in what you can reasonably conclude. A three-day trade show does not generate the sample size or behavioural consistency of a six-month museum deployment. Judgements need to be framed accordingly: you are identifying strong signals and clear failures, not producing statistically robust benchmarks.

Data sources and what each one actually tells you
Each technology in the wayfinding mix provides a different type of signal. Beacon detection logs show which zones a device passed through and roughly when, but they do not confirm the visitor successfully found their destination. QR scans on wayfinding signs confirm that someone noticed the sign and engaged with it, but not whether the resulting map or instruction resolved their problem. NFC taps are similar, with the added detail that the visitor had to be physically close to the tag. Help-desk and steward logs capture the failures: the people who could not find their way and asked for help.
No single source gives a complete picture. The practical approach is to triangulate: if beacons show heavy traffic through a corridor, QR scans on the sign at the corridor's end are low, and stewards report repeated directions to the same hall, the wayfinding at that decision point is not working despite high footfall.
Use-case variations
At conferences and exhibitions, the main evaluation questions tend to focus on session-room finding, exhibitor-stand navigation and the flow between key areas such as registration, catering and keynote halls. The pattern is often predictable: peak confusion at arrival, a secondary spike between sessions and relatively stable navigation during open exhibition hours.
At festivals and outdoor-adjacent indoor events, wayfinding evaluation often centres on crowd density and bottleneck identification. Temporary indoor spaces such as festival arenas or pop-up venues rarely have the sightlines of purpose-built exhibition centres, and signage placement may have been adjusted on the fly. The evaluation needs to capture what changed during the event and whether those changes helped.
At sporting events, wayfinding evaluation overlaps with safety and evacuation planning. The questions shift from "did visitors find their seats" to "did the wayfinding system support safe, orderly movement at entry, half-time and exit." Beacon zone-transition data can be useful here when cross-referenced with CCTV or steward observations, though it should not be treated as a standalone safety metric.
Involving the right people
A useful evaluation draws on operations staff, front-of-house stewards, the technology provider and, where possible, a sample of visitors. Operations staff can speak to whether the wayfinding plan was feasible to execute. Stewards are the best source of information about recurring confusion points. The technology provider can explain anomalies in the data, such as beacon detection gaps caused by interference or infrastructure changes during the event. Visitor feedback, even from a small number of respondents, often surfaces problems that none of the above groups noticed because they knew the venue layout already.
Turn measures into operational changes
Mistakes that undermine the evaluation
The most frequent error is leaving data collection until after the event is fully struck. Once beacons are unmounted, power systems are disconnected and temporary Wi-Fi is removed, the opportunity to pull logs may be gone entirely. A clear handover checklist between the event-operations team and the technology provider, specifying exactly what data must be exported and by when, prevents this.
A second common mistake is evaluating the technology in isolation. A beacon network might have performed flawlessly from a signal perspective, but if the digital map it triggered was confusing or the accompanying physical signage pointed the wrong way, the overall wayfinding still failed. The evaluation should assess the complete visitor journey, not just the radio layer.
Treating one event as definitive is another pitfall. Visitor behaviour at a Tuesday morning conference differs from a Saturday evening awards ceremony in the same venue. An evaluation should note the specific conditions of the event, including attendee profile, session format and any disruptions such as room changes or delayed starts, so that findings are interpreted in context.
Limitations to state openly
Temporary beacon deployments rarely receive the calibration attention that permanent installations get. If beacons were mounted on stands, truss or temporary partitions, their position may have shifted during the event. Signal behaviour in that environment should be described as indicative rather than precisely measured.
Visitor device variation also limits what you can conclude. Two phones of the same model can report different RSSI values. Different operating systems handle background Bluetooth scanning differently. Any evaluation that implies metre-level accuracy from a temporary event beacon deployment is overreaching.
Sample bias affects visitor feedback. The people who complete a post-event survey about wayfinding are disproportionately those who had a strong experience, positive or negative. Quiet satisfaction or mild confusion goes unrecorded. Frame survey findings as directional, not representative.
Key checks to run before closing the evaluation
- Battery drain records: Compare pre-event battery levels with post-event readings on all beacons. Unexpectedly high drain on specific units may indicate a configuration error or environmental interference that also affected performance during the event.
- Dead-zone log review: Cross-reference any reported dead zones with the original placement plan. Determine whether the gap was caused by physical obstruction, beacon failure or a gap in the plan itself.
- Signage condition audit: If physical wayfinding signs were used alongside digital systems, note any that were damaged, obscured or repositioned during the event. This affects whether the digital system was being used as intended or as a fallback.
- Help-desk query categorisation: Group wayfinding-related queries by location and time. Recurring queries about the same destination at the same time of day point to a specific failure in the wayfinding chain.
- Provider data handover: Confirm that all raw logs, not just summary dashboards, have been received and stored in a format that will remain accessible for future reference.
The output of a post-event wayfinding evaluation should be a short, specific document that feeds directly into procurement and planning decisions for the next event. It does not need to be long. It needs to identify what to repeat, what to change and what remains unknown and worth testing again under different conditions.
